1. Who we are

This policy explains how personal data is collected and used when you visit The AI Academy website, make an enquiry, book a consultation, register for a webinar or use our learning services.

The AI Academy is operated by Westmar Two Holdings Limited, company registration number 658532, of Fertiana, Holycross, Thurles, Co. Tipperary, Ireland. Westmar Two Holdings Limited is the data controller for personal data processed directly through The AI Academy website and services.

2. Personal data we collect

Depending on how you interact with us, we may collect your name, email address, optional telephone number, comments or questions, consultation-booking information, webinar-registration information, learning-platform account and participation information, correspondence and technical data necessary to operate and secure the website.

Please do not provide confidential, sensitive, health-related or unnecessary personal information through the general-enquiry form.

3. General enquiries

Our enquiry form collects your name, email address, optional telephone number, and comments or questions. We use this information to respond, provide requested information and manage any resulting business relationship.

Our lawful basis will normally be our legitimate interest in responding to business enquiries or taking steps at your request before entering into a contract. Submitting an enquiry does not subscribe you to marketing communications.

Enquiry information will normally be retained for up to 24 months after the last meaningful contact, unless it results in a client relationship or must be kept longer for legal, contractual or dispute-resolution purposes.

4. How we use personal data

We may use personal data to respond to enquiries, arrange consultations, administer webinars, provide training, manage learning accounts and course participation, issue course communications or certifications, manage client relationships, secure our services, maintain business records, establish or defend legal claims and meet legal obligations. We do not sell personal data.

• Steps before entering a contract, when you ask about a service.
• Performance of a contract, when processing is needed to provide a requested service.
• Legitimate interests, for appropriate business enquiries, service operation, security and relationship management.

6. Consultation bookings

Consultation bookings are provided through Google Calendar. Google may process information under its own terms and privacy policy. We may receive the details needed to arrange the consultation.

7. Webinar registration

Webinar registration is managed through an external webinar platform. Its own terms apply. We may receive information needed to administer the webinar and conduct follow-up activity consistent with the choices made during registration.

8. Learning platform

The AI Academy intends to use LearnWorlds to provide online learning. Westmar Two Holdings Limited will determine why learner information is used and act as data controller. LearnWorlds acts as processor when handling learner information on our behalf.

Learner data may include identity and profile information, enrolments, progress, assessments, certifications, logins, activity, device data and course communications. We use it to deliver learning, provide support, record progress, issue certificates and produce appropriate participation reports.

Learner information is retained while the account or learning relationship is active and afterwards only as needed for certification, reporting, contractual, legal or dispute-resolution purposes.

9. Cookies and analytics

At launch, we do not add third-party analytics, advertising cookies, behavioural tracking or remarketing. The website and hosting provider may use technologies that are strictly necessary to operate, protect and deliver the website. If optional analytics or tracking is added later, we will update this policy and request consent where required.

10. Service providers and sharing

We may share information with organisations that help provide our services, including OpenAI for ChatGPT Sites hosting, Google for consultation bookings, the webinar provider, LearnWorlds, email and security providers, professional advisers, and public authorities where disclosure is required or permitted by law. Providers may act as processors or separate controllers depending on the service.

11. International transfers

Some providers may process information outside Ireland or the European Economic Area. Where required, an appropriate transfer mechanism will be used, such as an adequacy decision or approved standard contractual clauses.

12. Retention

We keep personal data only as long as reasonably necessary for its original purpose and any legal, contractual, tax, accounting or dispute-resolution requirements. We periodically review information and delete or anonymise it when it is no longer needed.

13. Security

We take reasonable organisational and technical measures intended to protect personal data. No online system can be guaranteed to be completely secure.

Subject to applicable law, you may have rights to access, correct, delete or restrict your personal data; object to certain processing or direct marketing; withdraw consent; request portability; and complain to a supervisory authority.

15. Children

The website and our services are intended for organisations and working professionals. They are not directed at children.
